FAQ World Centre's Virtual Programme

Take a look for answers to your questions about our virtual programme

Where can I register and/or pay for an event?

All events can be registered and/or paid for through Eventbrite. Follow this link to view and register for events: WAGGGS World Centre Virtual Programme Events | Eventbrite.

You will be able to pay with your Debit/Credit card, or via PayPal.

Can I book an event as a Unit/Troop and screen share, or would participants need to sign up individually?

For all events we do require one ticket per person. If you are registering as a Unit/Troop, the leader can buy all the tickets on the same booking. There is no booking cap on numbers for  fixed cost events, and if the cap is met when registering for free events you will be able to make multiple bookings. When the leader books multiple tickets they will be asked for the names of each attendee. Alternatively, individuals can book on to a session themselves.

Units/Troops must be booked by a leader aged 18+. At least two adult leaders will need to attend the session. Two leaders may attend for free – simply book the number of tickets needed for your youth participants and any additional leaders. You do not need tickets for the two free leaders.

The fees from these events help to support the World Centres while they are not able to be open to guests so your bookings and attendance are really appreciated and help to show your support for global Girl Guiding and Girl Scouting.

What if I want to purchase more than the maximum number of tickets per order?

If you require more than the maximum ticket number per order you will need to make  separate bookings. This is most relevant to the free events where we encourage attendees to register for the number of people actually joining and not block out tickets that might not be used.

Paid events can be fully bought out by one attendee, which in turn will make that event a private event.

Are Leader tickets free if they are attending with their Unit/Troop?

Units/troops must be booked by a leader aged 18+. At least two adult leaders will need to attend the session. Two leaders may attend for free – simply book the number of tickets needed for your youth participants and any additional leaders. You do not need tickets for the two free leaders.

Eventbrite should show you the event time based on your location. If the time is displayed in a different time zone:

You can use this website to make sure you have the right time for the event in your time zone: https://www.timeanddate.com/worldclock/converter.html.

It is a good idea to do this at the time of booking so you don’t get a surprise the day of your event. In many cases Eventbrite will do the conversion for you!

What language will my event be conducted in?

Sessions are delivered in English unless otherwise stated. We are working on having sessions delivered in other languages in the future.

Can I book a private session for one of the events?

Unfortunately we have limited resources during 2021 due to the Centres being closed, so by having fixed event dates and times we can ensure the Centres can reach as many people as possible. The times do vary and will continue to vary over the year, so hopefully there will be something that fits. Paid events can be fully bought out by one attendee, which in turn will make that event a private event.

Will I be able to join a session in my time zone?

The times do vary and will continue to vary over the year, so hopefully there will be something that fits all time zone waking hours. Due to limited resources during 2021 we have fixed dates and times so that we can ensure the Centres can reach as many people as possible. This may mean that there isn’t a session during your regular Unit/Troop meeting time, however there should be a session during waking hours in your country.

What’s the maximum number of participants at one of the offered sessions?

The number varies, but generally speaking capacity for sessions will be high – around 60 to 100 people per session. This is so that we can encourage participants from around the world to join, and to make sure the sessions can also be a cross-cultural experience for the attendees!

Will I need to bring anything with me to the session?

For many sessions you will just need to bring your wonderful self and an open mind, but for other sessions you may be requested to bring a pen and paper, or be in a certain location, for example if you are attending an Indian Cooking with Sangam event you will need to be in the kitchen and have ingredients and utensils to follow along. All the information you will require will be available to you in advance.

Will I receive a reminder or any communication from the World Centre running the event?

Yes, you will receive a confirmation email from Eventbrite when your registration on an event has been successful. Several days prior to your event we will send you an email with all the information you will require to attend, including the Zoom link to join, anything you need to bring, and any further details you will require.

I have never used Zoom before, can you help me join my event?

We know that technology can be difficult sometimes, especially when there are many different platforms available. All our events will be hosted on the Zoom platform. As a guest without a Zoom account you can join an event through the ‘join meeting’ button when you follow the link we send you; alternatively it is free to create a basic account. Below are the links to:

Alternatively if there is something we can assist you with please let us know.

The link to your registered event will be sent several days prior to your event to the email you completed your registration on Eventbrite with.

Will I be able to get a refund if I can’t attend my event?

If you are not able to attend your event you will be able to request a refund up to 7 days before your event, which must be requested through the Eventbrite site. Please note the Eventbrite fee will not  be refunded, you can find this amount under the price breakdown on your Order Confirmation. If the World Centre Virtual Programme team cancels or postpones an event you will be able to transfer your ticket or request a full refund including the Eventbrite fee.

Will I receive a reminder or any communication from the World Centre running the event?

Yes, you will receive a confirmation email from Eventbrite when your registration on an event has been successful. 24 hours prior to your event (72 and 48 hours prior for Indian Cooking with Sangam) we will send you an email with all the information you will require to attend, including the Zoom link to join, anything you need to bring, and any further details you will require.

How can I make an event ‘private’ for my group/Unit/Troop?

We understand some Units/Troops would like a private session just for their group, and during 2020 some World Centres were able to offer these sessions. However, due to limited resources and staffing at the World Centres during 2021, we have fixed dates and times so that we can ensure the Centres can reach as many people as possible. This does mean that we are unable to offer sessions outside of those advertised on Eventbrite. If you would like to guarantee a session will be attended only by your Unit/Troop, you can book all the tickets for that session. We do request attendees of free events not to block tickets which may not be used.

What strength of data or WIFI will I need?

All Virtual Programme events will be run through the Zoom platform, you will need to consider your data/WIFI strength and capacity when you are booking onto an event. As many of our events are interactive we  recommend that your data/WIFI strength is strong enough to join a video call.

Why do some events have an age limit?

We have set age guidelines to indicate the most appropriate attendee of each event. We know that children, adolescents, and adults all learn, process and participate differently, so where there is an age guideline it is an indication of who the event is best suited for. Please remember if you are under 16 you need to be accompanied by a Leader or Adult to join the session.

Can an adult be responsible for multiple under 16 year old attendees?

If you are booking as a Unit/Troop this must be booked by a leader aged 18+. At least two adult leaders will need to attend the session. Two leaders may attend for free – simply book the number of tickets needed for your youth participants and any additional leaders. You do not need tickets for the two free leaders.

Individuals under age 16 who are not attending with a Unit/Troop need to be booked by an adult age 18+ and an adult must attend the session with them.

Individuals aged 16+ who are not attending with a Unit/Troop may book themselves onto a session and do not need an adult to attend with them.

Is there a minimum attendee number for each event?
Each virtual event requires a minimum number of participants (excluding free leader places) to run. If there are fewer than the minimum number of participants booked 24 hours before the start time the session will be cancelled and we will give you the option of either transferring your ticket to another session or we will provide a full refund.

Please note the minimum attendee number for Indian Cooking with Sangam sessions is 48 hours before.

Is there a World Centres Virtual Programmes badge?

We will be selling a World Centres Virtual Programmes badge, which will be available to all those who join an online virtual event with us. The link for purchase will be available in the email communication post-registration.

Do the virtual events provide a certificate of participation?

Yes, we will be providing a certificate of participation to all attendees of paid events. This certificate of participation will be specific to each paid event and signed and dated by the relevant World Centre!

Due to staffing restrictions at the World Centres throughout 2021 we will only be able to provide certificates for paid events. The certificate will come without the participant name and Leaders or the attendee will be able to add the relevant names.

Will there be any events uploaded to YouTube for those who can’t attend a live session?

At this point due to safeguarding we will not be able to record and upload the sessions. However, this may be a possibility later in the year and will be advertised on our social media and in the Event description of any event we will record.
